Summary: Responsible for the day to day operation of the main office, including answering phones, greeting and assisting visitors, students, staff, contractors, managing meeting spaces and staff kitchen and providing administrative support to staff. This is an 11-month position.
Responsibilities
- Answer incoming phone calls representing Ivymount in a professional, positive, and respectful manner
- Field all queries, answer questions, and route calls using multi-line telephone system
- Check general voice mailbox every morning and route calls
- Greet, sign-in, and direct all incoming visitors, parents, students and staff in a positive, respectful manner
- Ensure all security and safety procedures are followed
- Manage and maintain professional appearance of lobby, front office, meeting spaces and staff kitchen
- Print, copy and file documents with careful attention to detail
- Process and distribute incoming and outgoing mail as appropriate including incoming checks, trips to the post office as needed, processing Fed Ex/UPS/Registered mail requests, posting mail and daily drop off of afternoon mail
- Provide support during all organization emergency drills (fire, evacuation, etc.)
- Assist with student late arrivals and early dismissals
- Run office and organization related errands (post office, UPS, coffee, lunches, etc.)
- Additional administrative responsibilities may vary from day to day
Qualifications
- High School Diploma or Associate’s Degree
- Excellent customer service skills
- Experience working in a fast-paced environment
- Experience with Microsoft Office Suite, particularly Outlook calendars
- Experience using computer databases and software (e.g., attendance, security)
- Exceptional oral and written communication skills
- Cooperative participation within a team
- Excellent organizational skills and attention to detail
- Ability to perform several tasks simultaneously and problem solve
- Willingness to accept delegated responsibilities and constructive feedback
- School-based experience preferred
- Bachelor’s degree in Business Management or related field preferred
