A DAY IN THE LIFE
Our Administrative Assistant (Professional II) Part-Time role is located in Robbinsville, New Jersey, and is an onsite position.
As a key member of the team, this role will be responsible for a full range of activities including:
- Schedule: 25 hours a week. (9-2pm, but flexible.)
- Proofread, copy edit, format, compile, and deliver technical documents including proposals, work plans, letter reports, formal reports, and corporate documents
- Print and bind documents, and prepare CDs, USBs flash drives, or upload documents to extranet sites or client systems
- Support multiple team members and projects with document processing needs
- Maintain accurate and up-to-date project files
- Maintain active communication with authors, project managers, and technical personnel
- Phone call screening/messages
- Prepare mailings and coordinate pick-ups/drop-offs
- Coordinate laboratory pick-up/drop-offs of samples and equipment supply rentals
- Order office supplies as needed
- Coordinate with buildings/grounds for maintenance as needed
- Review/help maintain office calendar and scheduling
- Coordinate/maintain fleet vehicle maintenance records and inspections
- Maintain First Aid Kits and Fire Extinguisher scheduling
- File/process project documents as needed

YOUR EXPERTISE AND SKILLS
To perform this job successfully, individuals must be able to perform each duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Possess excellent organizational, file, and time management skills to effectively meet multiple deadlines
- Possess advanced-level skills in Microsoft Word and intermediate-level skills in Microsoft Excel, PowerPoint, and Adobe Acrobat
- Previous experience editing documents such as formal reports, letter reports, proposals, and work plans
- Outstanding communication skills, including proofreading and copy editing (grammar, spelling, punctuation, composition)
