A Snapshot of Your Day
As Client Services Project Manager, your primary role is to successfully own both the client relationships and their projects from inception through delivery. You will be responsible for the day-to-day planning of all client projects while overseeing execution. Our clients will rely on you for timeline management and the good-natured fun interactions you'll provide. You’ll initiate, plan, and coordinate with the creative and production teams to execute the clients' deliverables, while maintaining live scheduling systems.
This is not a technical nor a creative role but one requiring an understanding of marketing or fundraising, and customer support experience. The ability to work both within the creative process and speak the language of digital and print from a creative and strategic standpoint is essential.
You are expected to always assure the highest level of ethics, professionalism, and personal performance. You will work enthusiastically to establish then meet or exceed client expectations. As a point person between clients and internal departments like creative and production, you are a key element to our customers' success.
Key Job Responsibilities
- Develop and maintain positive and productive relationship with key client contacts
- Onboard new clients or client contacts, helping them get up to speed with our tools, processes, and what is needed from them to be successful
- Convert sold programs into projects and tasks for a successful program
- Establish and maintain timelines and deadlines for client projects
- Internally communicate with key teams such as creative, data, and production, regarding project schedule and scope
- Spearhead client project kickoffs with appropriate personnel to all be on same page with expectations and timing.
- Keep projects on budget, coordinate with outside partners (as needed), and communicate any change in scope costs to client.
- Provide scheduling, status, and logistics to client and internal teams
- Coordinates assets, edits, changes from client, for all deliverables
- Demonstrate excellent organization skills and detail in managing multiple initiatives for multiple clients.
- Juggle multiple projects and timelines simultaneously, adapting actions to ever-shifting priorities
- Actively participate in high-level meetings with clients’ leadership teams and drive clarity via written confirmation of outcomes
- Possess in-depth understanding of client’s business and fundraising objectives and culture
- Identify and communicate opportunities for continued growth, spearheading any discussions on new work and/or program renewals.
- Achieve a spirit of teamwork and cooperation within the on-site team, external teams, and agency partners
- Model positivity in all engagements with others (at all levels) to demonstrate amplifi culture and ideals
- Evaluate and monitor quality and performance of all projects under scope of responsibility
- Think tactically to meet client’s needs, improve current service, or deliver new services
- Proactively identify process challenges, bringing solutions to the client and internal teams
- Create, document, train for, and implement new processes
- Demonstrate job knowledge and aptitude to train new team members
- Display excellent communication skills, verbally, non-verbally, and in writing
- Commit to continue to learn, develop, and expand in skills and knowledge
Qualifications
- 5+ years experience in account management, customer service, and/or project management, some of which was at a marketing or fundraising agency.
- Background in working with designers and proven ability to work within creative process
- Ideal candidate will have some understanding of print specifications and placing print work.
- Self-motivated to independently manage success of customer relationship and review/address any project workflow issues (either internally or externally)
- Comfortable with computers and core software, including the MS Office suite (including Microsoft Teams) and help desk systems.
- Knowledge of project management software such as AirTable, Asana, or similar.
- Quick and enthusiastic learner.
- Excellent verbal and written English language communication skills
- Critical thinking and good judgment to quickly determine and prioritize key issues
